Editing an Item in an Existing Invoice

This article explains how to edit items in an existing invoice. Some actions can be made with multiple items at a time and some can only be done with a single item at a time.

  • Single or Multiple Items: Changing date, Changing or adding a Provider, Changing or adding a Salesperson, Changing Service Code
  • Single Item: Changing Quantity

To Add or Remove an Item, Make an Adjustment to an Invoice Total or Pay an Existing Invoice, click on the appropriate title to be redirected to the appropriate guide.

Permission to Edit Client Accounts is required to amend an existing invoice.

Changing Date – Single or Multiple Items

Changing the date of line items will only change the date the items were invoiced, it will not affect the invoice date or the payment date. If the Invoice date needs to be changed, see Editing an Invoice.

1.  Select the items to edit by ticking the box on the left side or use the box at the top to “select all”.

2. Click Edit Date on the menu that appears on the right side.

3. Click on that box to open the calendar and choose the Date that will show for the items.

4. Click Save.

 


Changing or Adding a Provider – Single or Multiple Items

Changing the Provider for an item will not change the Provider showing on the invoice, it will only credit the item to the Provider for report purpose.

1.  Select the items to edit by ticking the box on the left side or use the box at the top to “select all”.

2. Click Change Provider on the menu that appears on the right side.

3. Select the Provider in the dropdown menu that appears when clicking in the provider box.

4. Select the Provider Number in the list.

5. Click Save.

 


Changing or Adding a Salesperson – Single or Multiple Items

1.  Select the items to edit by ticking the box on the left side or use the box at the top to “select all”.

2. Click Change Salesperson on the menu that appears on the right side.

3. Select the Salesperson in the drop-down menu.

4. Click Save.

Use with care as the Salesperson(s) will be credited for payments of items assigned to them – not the Provider (even for a Service or Class provided by the Provider) in Management reports such as the Activity, Practice Payments and Provider Payments Reports. Services or Classes will remain under the Provider’s name in the Statistics reports.


Changing the Service Code – Single or Multiple Items

This option is useful when a Third Party requires a different Service Code than the one normally used. Changing the Service Code will not affect Reports.

1. Select the items to edit by ticking the box on the left side.

2. Click Edit Service Code on the menu that appears on the right side.

3. Key-in the new Service Code that will display on the invoice.

4. Click Save.


Changing Quantity – Single Item

1. Select the item to edit by ticking the box on the left side.

2. Click Edit Quantity in the right side menu that appears (this will not show if more than one item is selected).

3. Key in the Quantity or use the arrows to increase/decrease the quantity.

4. Click Save.

 

All these changes will be shown in the Invoice History.
