Setting up Staff as Providers

Nookal Written by Nookal
... on an awesome August day.

This article explains how to set up the additional options available for Staff members that are Providers.

Each Staff member that provides (or has provided) services to Clients, is a Provider.

To avoid the need to upgrade your plan for providers that are no longer involved in the business, set them as Inactive.

If the Staff member has not been created yet, see Adding Staff Members for more information.

Every Active Provider using a Diary column will require a license.

  • If unsure if there are more providers allowed under the current plan, subsciptions details can be found in Practice > Subscriptions > Subscription.
  • If a plan upgrade is required and you would like more information, please create a ticket and we will assist you.

Go to Setup.

Click Staff under Users.

Click on the Name of the Staff member needing Provider details added in the list of existing Staff. Active and Inactive Staff members are listed under the appropriate tabs.

Tick the Provider box in the Application section.

Click Add New to add a Registration Number (e.g. Provider number, Professional ID).

Set all the Registration Numbers that might be needed (e.g. if different for each location, for certain third party payers, etc.) so they are easily accessible for invoicing.

Type in the Registration Number and click Next.

Select the Location this Registration Number is used for (a specific location or all locations) and click Next.

Select if the Registration Number applies to all Type of Payment or only one (e.g. specific third-party payer) and click Next.

Once back on the Staff page, the Registration Number will be displayed in the table.

Tick the Diary box.

Read the information on the popup window about subscription, tick the box I understand and agree and click Continue.

Choose whether the Clinical Notes of this Provider will be shared with other staff members who have access to clinical notes or if they will be private, in the dropdown list next to Privacy.

In the Diary View dropdown, choose whether the Provider can view the Diary of all Provider’s (Standard Diary View) or only their own Diary (Single Diary View).

Click here for more information about Setting up Single Diary View.

Once all these steps are completed, click Save Changes.

Once the Diary box is ticked there will be options related to Integrations. If this Provider is to be made available for Integrations such as Online Bookings, select the Enable Integrations checkbox. For more information about Online Bookings, see Setting Up Staff for Online Bookings.
