The Waiting List stores Clients in an easy-to-read list, while they are waiting for a suitable Appointment or Class.

Clients can be added to the Waiting List directly or when booking an Appointment, see below for more details.

Adding a Client Directly to the Waiting List

Make sure you are in the correct Diary Location you wish to add the Client to, as they will only appear on the Waiting List for that Location.

Click on the Clock icon, which is located within the Message Centre on the right-hand side of your Nookal page.

Click the Add to Waiting List button at the bottom of the Waiting List.

Search for the Client by typing the First Name, Last Name and select the Client to be added to the Waiting List.

If it is a new Client, click the Create Client in the bottom-right corner once the search has completed and complete the client creation process.

Fill out the details including preferred Provider, Day, Time and Consultation or Classes needed by Client.

The list displays Clients in the order they were added to the list. Selecting the Priority Client option, will display the Client at the top of the list.

Click Add Client.

The Client will be added to the Waiting List and a red counter will be displayed on the Clock icon to notify how many Clients are on the Waiting List. Preference for the time, day and Practitioner will be displayed.

Adding a Client to the Waiting List from an Appointment

If a Client is looking for a more convenient Appointment time, it is possible to add them to the Waiting List whilst making an Appointment. If a more convenient time becomes available, the Appointment can be moved and they’ll come off the Waiting List.

While creating a new Appointment on the Diary, tick the Add to Waiting List checkbox under the Appointment section.

After the Appointment has been created, the Waiting List will pop up to add Client preferences such as Provider, Day, Time.

Click Add Client.

The Client will be added to the Waiting List and a red counter will be displayed on the Clock icon to notify how many clients are on the Waiting List. Preference for the time, day and practitioner will be displayed.

If a more suitable time becomes available, click on the time slot in the Diary.

 Click on the Add from Waiting List field.

Select the Client from the dropdown list.

Review the booking changes and click Confirm.

The initial booking will be moved to the new booking time.

Creating Bookings for Clients on the Waiting List

The quickest and easiest way to book Services for Clients from the Waiting List is to open your Diary to the preferred date and time, then simply drag and drop the Client from the Waiting List into the Diary. (This only applies to Services.)

Otherwise, it is possible to book a Client just like a standard Appointment in the Diary by following the steps below.

Click on an available time slot in the Diary.

Click on the Add from Waiting List field.

Select a Client from the dropdown list.

Select relevant Booking details and click Create Appointment.

The Appointment will be booked and once the Diary refreshes, the Client will be removed from the Waiting List.

 

Updating Waiting List Preferences

In the Diary section, open the Waiting List.

Click anywhere on the Client’s Waiting List card, except for on the Client’s Name.

Edit the preferences and click Save Changes.

It is also possible to send SMS messages to the Client from the Waiting List by clicking on Send Message.

Removing a Client from the Waiting List

Open the Waiting List by clicking on the Clock icon in the Message Centre.

Click anywhere on the Client’s Waiting List card, except for on the Client’s Name.

Click Remove from List.

Sending a Bulk Message to Clients on your Waiting List

You can send a Message to all of the Clients on your Waiting List to advise of any new availabilities.

Click on the megaphone icon to send out your Bulk Message to the Clients on your Waiting List.

You will then need to add the content of your Bulk Message to the text field. The Estimated Cost will appear under the text field so you can ensure that you have enough SMS Credits to Bulk Message your Clients on the Waiting List.

Once ready to send your Bulk Message, click Send underneath the text field.

Searching the Waiting List

The Waiting List can be filtered by Client Name by typing into the Search by Client field.

  The Waiting List can be filtered by Practitioner by selecting a Practitioner Name from the dropdown.

Printing the Waiting List

The Waiting List can be printed by clicking the Printer icon.

Refresh the Waiting List

The Waiting List can be refreshed with the most up-to-date information by clicking the Refresh icon.

The Waiting List is limited to 300 clients per page. Use the Forward and Back arrows to navigate through pages of the Waiting List if there are more than 300 clients on the list.
