It is recommended to create Clinical Templates suitable for the different Consultation and Classes type to save valuable time, each time. For more details on creating Clinical Note Template, click here.

Writing Clinical Notes for a Consultation

To write a Clinical Note for a Consultation or a Class, it is highly recommended to access the Clinical Notes section from the booking in the Diary so it is automatically linked to the appropriate Booking and Case.

Click on the booking in the Diary.

In Classic view, click Clinical Notes at the top of the appointment window.

In Fresh view, click on Clinical Notes on the right-hand side of the appointment screen.

Select a Template.

Fill the different fields of the Template with the relevant information.

Use the different tools to draw or write on the Chart as relevant.

If a different chart is required, simply click on the chart icon in the top-right corner to select a different chart available in the account.

Once finished, click Finalise.

Once Finalised, a Clinical Note can’t be edited so consider using the Save Draft option if the note is not complete so it is possible to come back later and add more information before finalising it.

The Note will then be displayed in the History on the right-hand side along with previous notes where they are no longer active and cannot be edited.

To confirm the Clinical Note is linked to the appointment, the Appointment type will be displayed under the Provider’s name.

In the Diary, the appointment field will display the Clinical Note icon so it’s easy to know which ones are outstanding.

If the appointment doesn’t display the Clinical Notes icon, it is not linked to the appointment. See Linking an Existing Clinical Note to a Booking for more details.

Writing Clinical Notes for a Class

In the Diary, click on the Class and select a single Client.

Click Clinical Notes on the right-hand side menu.

Select a Template.

Fill the different fields of the Template with the relevant information.

Use the different tools to draw or write on the Chart as relevant.

Once finished, click Finalise.

Once Finalised, a Clinical Note can’t be edited so consider using the Save Draft option if the note is not complete so it is possible to come back later and add more information before finalising it.

The Note will then be displayed in the History on the right-hand side along with previous notes where they are no longer active and cannot be edited.

To confirm the Clinical Note is linked to the Class, the Class type will be displayed under the Provider’s name.

In the Class details page, the Clinical Note icon will be displayed next to the Client name so it’s easy to know which ones are outstanding.

Writing a Similar Note

If needing to write a similar note to an existing Clinical Note, it is possible to copy an existing note to use it as a starting point.

Click on the Arrow in the note History. It will copy across the selected previous finalised note in the editing section.

Add modifications as required and click Finalise. A new Clinical Note will be saved in the History section.

Pinning a Note

Important notes can be pinned to the top of the notes History for greater visibility.

Click on the Pin icon at the top of the note.

The note will now appear at the top of notes History highlighted in green.

A note can be unpinned by clicking the same Pin icon on the pinned note.

Additional Notes

If additional notes are needed to record a discussion or other clinical information not linked to a booking, this can be done using the Add Notes button below the finalised notes.

 

Adding Symbols in Text Fields

Click the “π” icon on the right-hand side or press Shift + 6 to open the symbol window.

Click in the symbol or navigate with the arrow and hit Enter to add it in the text field.

Adding Snippets in Text Fields

To insert Snippets previously created in the account, click on the “A” on the right or press “!” while typing to open the dropdown list.

Type the start of the snippet and select the relevant snippet in the dropdown as it filters.
